Minutes

Treasurers Report

Attached to meeting minutes. 
Congratulations and thanks were passed on to the team for a very enjoyable and successful night, and well over £5000 was raised through ticket sales, raffle tickets and the auctions. 
We discussed the booking of the event for next year and agreed that in principle, The Masonic Hall was a great venue for our event. Date to be confirmed but October was agreeable to all. Dawn mentioned that advertising the event to new parents at various events before the Ball would be a good idea. Using the School band also showcased their talents, and could attract new students to take up instruments and lessons at the school.


Gold Club Card report

Vicki highlighted an issue with the Standing Order forms, as Lloyds Bank had queried why the forms had not been submitted by individuals, rather than in bulk by the school. However, this is being resolved. 
The Online Banking issue is almost complete, although has been a laborious task. Once this is set-up, winnings can then be paid directly to the winners. There is approx. £7781 in the fund. 
Around 40 new applications have been received recently. Winning payments are temporarily on hold due to the Online Banking issues, but will be issued in the very near future. 

Second Hand Uniform

Tamsin reports that Sales and Donations continue, and have increased recently. There is £249 in the account at this time. 
A Social Media post will be made advertising the store. 
Price and Buckland surplus PE kits will hit the uniform store early 2026, and will be priced as ‘New’. 

Funding Request(s)

The House System has £200 for prizes. This is to cover prizes for 14 forms at Christmas and Easter, and to include prizes for 6 raffles to be held on each of the Houses Christmas Dinner Days. This was agreed by all present. 
The debating society has requested £100 for refreshments for an event. They are hosting the regional round of the English Speaking Union Mace debating competition in the Old School. This has been agreed on the PTFA WhatsApp group on 23rd November. 

Marketing and Social Media

Amy to promote the Second Hand Uniform store on Facebook and Social Media.
An issue has been flagged that some emails being sent from the School have been ending up in ‘Promotional’ email folders and missed. A new email system and ‘App’ is now being rolled out and this could counteract this issue. 

Choc Fest

This will be run around Easter 2026 (2nd April). To be discussed nearer the time. 

PFTA Ball

Possible date of 10th October 2026, with a venue of The Masonic Hall to be finalised. 

AOB

The committee discussed future fundraising events, and we spoke at length about other ideas such as BBQs, a Barn dance, Quizzes and Fish and Chip nights, a Pub Quiz etc.
We discussed new venues, and as some new restaurants and pubs have opened in Grantham, we could approach them to see if they would be interested in holding events in their function rooms. Village Halls and Social clubs could also be contacted, as well as the School Hall as a consideration. The School Hall would attract a cost. 
Amy M to start a WhatsApp conversation on any ideas from non-present members for any future events or venues. 
Elli asked that any relevant school emails could be forwarded to her. 

Dawn raised the issue of a PTFA presence at upcoming Alumni events.

The Alumni Cricket event is on a Friday and held on the School’s playing fields. Attendance is normally low due to the day of the week. PTFA input to be discussed – possibly a Cricket tea? However, the costs of a marquee may outweigh any profits we may make.
The ‘Old Boys’ rugby match is on 4th April at 2pm, which is Easter weekend. Although this could be a great fundraising activity, it is already a charitable event, and any clash may not be appreciated as such. To be discussed further. 

Future Milestone Events:

2027 is the 300th anniversary of the death of Isaac Newton, and this will be a big event, locally and nationally. The school are in talks with various organisations to celebrate this, and the PTFA will undoubtedly be involved.
